How meeting cost calculator works

A meeting costs the sum of every attendee’s time for the duration it runs. This calculator multiplies each attendee’s hourly rate by the meeting length, adds an optional overhead multiplier to account for benefits and load, and totals the result so you can see the real price of a recurring sync.

Use a single attendee count with one hourly rate for a quick estimate, or list attendees individually with their own rates. Each attendee can be entered as an hourly rate or as an annual salary (converted to an hourly rate via the annual hours you set, default 2080 working hours per year). The overhead multiplier models loaded labor cost — for example 1.3 for a 30% benefits burden.

The result shows the total meeting cost, the cost per minute, the cost per attendee, and a per-attendee breakdown. Everything runs in your browser; no salary data leaves your device.

How is the meeting cost calculated?

For each attendee, cost = hourlyRate × (durationMinutes / 60) × headcount × overheadMultiplier. The tool adds these up to get the total meeting cost, and divides by the duration and attendee count for the per-minute and per-attendee figures.

Can I enter annual salaries instead of hourly rates?

Yes. For an itemized attendee, provide an annualSalary instead of an hourlyRate. The tool divides the salary by the annual hours (default 2080) to get an hourly rate, then multiplies by the meeting duration. You can mix hourly rates and annual salaries across attendees.

What is the overhead multiplier for?

Employee cost is more than salary. Benefits, payroll tax, equipment and office space often add 20–40% on top. Set the overhead multiplier to 1.3, for example, to model a 30% loaded cost so the estimate reflects true labor expense rather than just base pay.

Is my salary information private?

Yes. All calculations happen locally in your browser. No salary, rate or headcount data is ever uploaded or stored, so it is safe to enter real compensation figures.
